Quick answers for using RingOps. Every article ends with a link that takes you straight to the page in the app.
Getting started
Members
Add a new member
Head to Members → Add member. At minimum you need their name, email or phone, and a plan. If they'll be paying by card, tick "Charge card now" and enter the card in the tokenized form — the number never touches RingOps's servers.
Member statuses and what they mean
Active: paying on time.
Face check-in (self-serve on the mobile app)
Members enrol their face themselves from the mobile app: Profile → Face check-in → Set up. The app captures a face descriptor on-device; only the descriptor (not a photo) is uploaded.
Member referrals
Settings → Member Rewards → Turn on referrals. Members get a share link like yourgym.ringops.dsio.io/join?ref=CODE. When someone signs up through the link and becomes a paying member, the referrer earns the reward you set (a free month, a store credit, XP).
Leads & CRM
Add a lead and start the pipeline
Add a lead from /leads → New lead. Give them a name, email or phone, and pick the stage (New, Contacted, Trialing, Ready to join, Won, Lost).
Auto-assign leads to a salesperson
Settings → Lead Assignment lets you round-robin new leads across your sales team. Pick "Round robin" and choose which staff are in the rotation. Turn on "Only assign during their working hours" to skip staff who are off shift.
Classes & attendance
Schedule a class
From /classes, click the day and time on the calendar. Pick the class type, capacity and instructor. Tick "Repeat weekly" to make it a recurring block.
AI schedule import
On the Classes page, click Import → Upload schedule. Drop a photo, screenshot or PDF (up to 10 MB) of your paper or Google Sheets schedule. The AI extracts every time-block and you review the table before it becomes real sessions.
Rank promotions and attendance thresholds
Set your promotion thresholds at Settings → Rank Rules. RingOps uses an 8-color striking-arts ladder (white, yellow, orange, green, blue, purple, brown, black) similar to the muay thai prajioud armband system. Each rank has a minimum attendance count; fighters who cross the threshold get a "Ready to test" badge on their profile.
Sparring gear compliance
RingOps tracks per-fighter sparring gear (headgear, mouthpiece, 16oz gloves, shin guards, cup). Each item has an acquired date and optional expiration — mouthpieces typically renew annually, headgear ~24 months.
Point of Sale
Take a walk-in payment (POS)
Open /pos, tap products or type a custom amount. Add a discount if you offer one. Pick a payment method — cash (opens the cash drawer if you have one wired up), card (tokenized reader), or invoice (bills to the member's account).
Manage inventory and discounts
Head to /inventory. Add products with name, price, SKU and stock count. Attach a photo for the POS grid.

How recurring billing runs
RingOps charges each member's saved card on their plan's schedule. Failed charges enter dunning at /payments — three retries then a status of Overdue.
Connect Authorize.net
Settings → Authorize.net. Paste your API Login ID, Transaction Key and Signature Key (see your Authorize.net Merchant Interface → Account → API Credentials).
Connect Stripe
Settings → Point of Sale. Set Card Processor to Stripe. Paste your secret and publishable keys from your Stripe dashboard.
Front-desk kiosk
Set up the front-desk kiosk
Get any Android or iPad tablet and open RingOps Kiosk from the app store. Or use a browser: put the tablet in kiosk mode and open /kiosk on your gym's subdomain.
Set your kiosk PIN
Settings → My Kiosk PIN. Pick a 6-digit code no one else at your gym is using. Staff enter this PIN on the kiosk to control lights/fans or reach the staff panel, and on a front desk computer to sign themselves in after it locks.
Mobile app
Download the mobile app
Send members and staff to the App Store or Google Play. One app covers both: it detects whether you're staff or a member on first login and shows the right home screen.
NFC tap-to-check-in
Print an NFC sticker with the URL nfc.ringops.dsio.io/tap/<gymSlug>. Members with the RingOps app installed tap their phone and the app opens straight to the check-in screen and posts the check-in.

Settings
E-signable documents and waivers
Settings → Documents & Waivers. Build a template with your gym's waiver text and drag Signature/Initials/Date fields onto the pages. Send it to a member from their profile → Documents → Send document.
Change your gym's colours and logo
Settings → Gym Info & Branding. Upload a logo, pick your accent colour and font. The colour reflects across every branded surface — kiosk, member portal, mobile app splash, digital signage.

Integrations
Connect Mailchimp
Settings → Integrations → Mailchimp. Paste your API key and pick an audience. New members and leads are added automatically with their status tag (member, lead, trial, cancelled).
Send transactional email via Resend
Settings → Email & SMS. Paste your Resend API key and set the From email and name. Receipts, class reminders, dunning notices and welcome emails all use this identity.
Turn on SMS via Twilio
Settings → Email & SMS. Paste your Twilio Account SID, Auth Token and From Number. Members receive class reminders and dunning notices by SMS instead of (or in addition to) email based on their notification preferences.
